Help your patients to register

Organisations that are connected to the My Health Record system can help their patients who don't already have a My Health Record to register for one.

Offering Assisted Registration is voluntary, but by registering your patients, your organisation will immediately be able to upload their clinical information.

Requirements for Assisted Registration

To offer Assisted Registration your organisation must:

  • be registered to participate in the My Health Record system;
  • use clinical software which has Assisted Registration functionality;
  • update its My Health Record system policy to cover Assisted Registration practices as required under the  My Health Records Rule 2016 (paragraph 42(4)(f));
  • have authorised at least one employee to provide Assisted Registration, and ensured they have been provided with the necessary resources and training;
  • have internet connectivity.

Other obligations for organisations that provide Assisted Registration include:

  • providing the individual with the Assisted Registration - Essential Information (PDF, 524.36 KB)  prior to assisting them to register for a My Health Record;
  • obtaining an individual's consent to register them for a My Health Record;
  • exercising reasonable care in identifying an individual prior to assisting them to register for a My Health Record;
  • ensuring any records of consent are destroyed as soon as practicable after becoming satisfied that the record will not be required e.g. for the purpose of meeting the organisation’s record-keeping requirements, investigating a complaint, or complying with a direction by the System Operator.

Organisations can choose to provide individuals with the application form to complete to collect the necessary information from the individual, however this is optional. As the application form contains a record of consent, it should be securely destroyed once the organisation is satisfied that it does not need to be kept for the reasons outlined above. If an organisation chooses to use the application form, the organisation is not required to send the form to the My Health Record System Operator.

Which patients can an organisation offer Assisted Registration to?

An organisation can offer Assisted Registration to a person who is 14 years or older, and/or to someone with parental responsibility of a child under the age of 14 who wishes to register that child. You cannot offer Assisted Registration to any person 14 years or older who does not have capacity to provide consent, or to a person who is acting on behalf of a person 14 years or older in their care. These patients will need to  register  via another channel.

Who in the organisation can offer Assisted Registration?

An employee of the organisation who has received training and been authorised by your organisation to assist individuals to register. This may be your administration or reception staff.

Before your organisation begins providing Assisted Registration it must ensure that its My Health Record security and access policy includes the following information:

  • how employees will be authorised to assist individuals to register
  • the training that will be provided before an employee is authorised to assist individuals to register
  • how an individual’s consent will be confirmed, and
  • the process and criteria for identifying an individual for the purposes of Assisted Registration (refer to the Assisted Registration - Identification Framework (PDF, 517.6 KB)).
